QR plant check-in and live plant tracking

Every machine on site carries its own QR label. Operators check it in from their phone, the pre-use checks are recorded with photos, and the site team always knows what is in use, by whom, and what has been stopped.

How it works

The work, step by step

01 / 05LabelRecreated screens, sample data
  1. Step 1 of 5 · Label

Every machine gets its own QR label

When a machine arrives it is added to the plant register, and saving it produces its QR label. The label carries a private key for that one machine, so a scan always opens the right record.

  2. Step 2 of 5 · Scan

Operators scan it. No app, no login.

Any phone camera opens a short check-in for that machine. The operator gives their name, company and CSCS card, then reads the hour meter.

  3. Step 3 of 5 · Checks

Every check answered, six photos taken

Each pre-use check is answered OK, Defect or N/A. Six photos follow, from the cab to the serial plate, and the operator signs to check the machine in for the day.

  4. Step 4 of 5 · Defect

A stopping defect stops the machine

A fault that stops use blocks the check-in, tags the machine DO NOT USE and sends the site manager an urgent alert. A lesser fault raises a repair job instead.

  5. Step 5 of 5 · Live

The site team sees it live

Plant In Use shows every machine checked in, who has it and for how long. Each check-in ends by itself after 8 hours or at midnight, so the picture is always current.

What it changes

From paper sheets and word of mouth to a live, evidenced record of every machine on site.

Before

  • Paper pre-use sheets filled in, filed and chased
  • No clear view of who is using which machine
  • Defects noticed late, or passed on by word of mouth
  • Hire decisions made from memory

After

  • A two-minute check-in on the operator's own phone
  • A live list of every machine in use and its operator
  • A stopping defect tags the machine and alerts the manager at once
  • A register with photos, hours and history for every machine
  • Safety you can evidence

Every check-in is a dated record with the operator's card, the answers and six photographs, ready for an audit or an incident review.

  • Nothing to install

Subcontractors and visiting operators use the phone they already carry. There is no app to download and no account to create.

  • Faster decisions on hire

Idle and off-hire machines are visible, so the team can return what is not being used instead of paying for it.
