HyneSite · Site access and right to work

Every person on site, verified at the gate

New workers register on the gate tablet, a site manager checks their right to work before the first shift, and every arrival after that is checked at the gate, by face or by name. The site team sees who is on site, whose checks are due and who was turned away, supplier by supplier.

How it works

The work, step by step

01 / 10RegisterRecreated screens, sample data
  1. Step 1 of 10 · Register

New workers register themselves at the gate

A new starter taps New here? on the gate tablet and answers one question at a time: name, date of birth, contact details, company, trade and someone to call in an emergency. There's nothing for the site team to type.

  2. Step 2 of 10 · Evidence

They say how they'll show their right to work

A share code from GOV.UK, a passport or other document, or an Application Registration Card. Documents are photographed on the tablet, and anyone who isn't sure is helped by the site manager.

  3. Step 3 of 10 · Face

Face sign-in, only if they agree

The tablet explains it before asking, and saying no never affects their work. If they agree, one photo is turned into a face template and the photo isn't kept. They leave with a reference for the gate person.

  4. Step 4 of 10 · Check

A site manager checks before the first shift

The site manager gets a notification. In the portal they check the share code on GOV.UK, record the outcome with a copy of the result, tick off the site induction and approve. Until then the gate turns the worker away.

  5. Step 5 of 10 · Gate

Checked at the gate, every time

Amir taps Sign in and looks at the camera. HyneSite recognises his face, checks his right to work and his induction for this site, and signs him in. He's on the live list straight away.

  6. Step 6 of 10 · Refused

    No valid check, no entry

The gate person can sign someone in by name, but the same rules apply. With no right-to-work check on record, the tablet refuses the sign-in and records why, so the site team can follow it up.

  7. Step 7 of 10 · On site

Who is on site, right now

Everyone signed in today and not yet out, by site and company, with how long they've been on site and whether they signed in by face or by name. Site managers have it on their phone too.

  8. Step 8 of 10 · Rechecks

    Rechecks before permission runs out

Time-limited permission gets a follow-up date. HyneSite lists it 60 days ahead, and by default the gate refuses anyone whose recheck is overdue. The whole register exports for an inspection.

  9. Step 9 of 10 · Suppliers

Every supplier held to the same standard

Each agency and subcontractor, with how many of their people are active and whose checks need attention. Their workers go through the same checks, at the same gate, as your own staff.

  10. Step 10 of 10 · Records

    A record of every decision

Every sign-in, sign-out and refusal is kept with who recorded it, and the audit log shows who changed what, and when. Gate activity and the right-to-work register both export.

What it changes

From paper sign-in sheets and documents taken on trust to a recorded right-to-work check for everyone who comes through the gate.

Before

  • A paper sign-in sheet, and no clear headcount
  • Right-to-work copies in a folder, if they were taken at all
  • Agency and subcontractor labour taken on trust
  • Follow-up checks remembered, or missed

After

  • Every arrival signed in at the gate tablet, with a live list of who is on site
  • Each check recorded the Home Office way, with a copy of the evidence
  • Everyone checked the same way, whoever supplies them
  • Rechecks listed 60 days ahead, and refused at the gate once overdue
  • No check, no entry

The gate tablet applies the same rules to everyone, every time, and records every refusal with its reason.

  • Evidence you can show

Every check is recorded with how it was done, who did it and a copy of the result, ready for an inspection.

  • Less paperwork at the gate

Workers register themselves on the tablet, so the site team checks and approves instead of filling in forms.
